Who Are We Looking For?

We are seeking a full-time Systems Operations Coordinator to join our Head Office team in Burleigh Heads (Gold Coast). Living by our motto The Sound of Change, we’re searching for a dynamic, detail-driven candidate who thrives in a fast-paced apparel and swimwear environment. This person will play a vital role in supporting our Sales and Operations teams, ensuring seamless execution across wholesale, e-commerce, and distribution channels.

Reporting to the Global Sales & Planning Manager and the Operations Manager, the successful candidate will bring strong systems knowledge, excellent administrative capability, and a data-focused mindset. Proficiency with Excel, B2B platforms (including NuOrder), Shopify Plus, Brandscope, and Cin7 Omni will be highly regarded. This role also offers clear opportunities for career advancement for the right person.

Importantly, this role will act as a key contact for US Cin7 Omni system, data integrity, and ongoing product and inventory management, ensuring our global swimwear and apparel operations remain accurate, efficient, and scalable.

Key Responsibilities

• Acting as a primary contact for US Cin7 Omni system data integrity.
• Ensuring data accuracy for SKUs, inventory levels, pricing, and product attributes.
• Supporting the migration, auditing, and maintenance of product master data.
• Collaborating with internal and external teams to troubleshoot Cin7 discrepancies and streamline workflows.
• Maintaining best-practice data hygiene across apparel and swimwear product categories.
• Supporting the Sales Team in managing end-to-end transactions for major accounts within the apparel and swimwear category.
• Reconciling sales orders across platforms (Cin7 Omni, NuOrder, Brandscope, Shopify Plus) and ensuring all data is accurate for major and independent accounts.
• Conducting sales analysis and generating reporting to identify growth opportunities and channel performance.
• Liaising with major retail partners on delivery schedules, shipment status, and order accuracy.
• Coordinating with distribution partners by providing order confirmations, SKU and line sheet files, pricing updates, and invoices.
• Performing branch transfers and ensuring accurate stock movement across regions.
• Maintain system accuracy for return authorisations within approved parameters and timeframes.
• Managing sample ranges for the Sales Team, including allocation, tracking, and reconciliation.
• Collaborating with warehouse teams to ensure orders are dispatched accurately and on time.
• Handling sales and operational customer enquiries while maintaining strong relationships across wholesale and distribution networks.
• Assisting with domestic and international dispatch tasks, including creating packing lists, carton labels, commercial invoices, and export documentation.
• Participating in team meetings and contributing insights on process improvement, systems optimisation, and operational efficiency.
• Supporting general administrative duties within the Sales and Operations teams.

Key Attributes

• 1–2+ years experience in a similar sales operations, wholesale admin, or inventory support role (apparel/swimwear industry experience highly advantageous).
• Strong Excel skills and confident use of MS Office Suite.
• Experience with Cin7 Omni, Brandscope, NuOrder, and Shopify Plus is strongly preferred.
• High attention to detail with the ability to manage multiple deadlines in a fast-paced seasonal environment.
• Strong written, verbal, and interpersonal communication skills.
• Highly organised, proactive, and capable of working both autonomously and collaboratively.
